Sorting your inbox vs switching to a new email client

A new email app changes how you read mail. Sortmail changes what reaches your inbox, in the app you already use. Which one fixes your problem.

Updated 27 September 2026 · 4 min read

The inbox you want holds only the mail that needs you, in whichever app you open. Sortmail gives you that without changing app: it sorts your Gmail or Outlook mailbox itself, so the Gmail app, Outlook, your phone’s mail app and the web all show the same short inbox. A new email client asks you to move your whole routine into it first.

See your own inbox sorted, free, before you pay. Connect Gmail or Outlook and Sortmail sorts your last 30 days, with the reason for every message.Sort my inbox free

Two different problems

"There is too much in my inbox"

Receipts, newsletters, notifications and marketing crowd out the handful of messages that need you. You spend the first minutes of every session working out what to ignore. This is a sorting problem: the mail is arriving in the wrong place.

"Dealing with my email is slow"

You know what matters, but reading and replying takes too long. This is a client problem: the mail is in the right place and the tool for handling it is wrong.

A quick test: if every receipt, newsletter and automated notice left your inbox overnight, would the rest feel manageable in your current app? If yes, you have a sorting problem, and it is the one Sortmail solves.

What Sortmail gives you

Sortmail connects to your mailbox and sorts every incoming message into one of five categories: Actionable, Personal, Receipts, Newsletters and System. You can rename them or add your own, up to 8. Actionable and Personal stay in the inbox and the rest are filed.

  • It works in the app you already use. The results are ordinary Gmail labels or Outlook categories, so every app shows the same quieter inbox.
  • Nothing to relearn. You keep your app, your shortcuts and your habits.
  • Sorted on day one. Your last month is sorted before you pay, and new mail is sorted as it lands.
  • Reasons you can read. Every message shows what decided it and how confident it was, and a correction becomes a rule for that sender.
  • It never sends, drafts or deletes mail. Our code calls no send, draft or trash endpoint, and a test fails the build if one is added. On Gmail it does not ask for full account access, so it cannot delete anything permanently.
  • A daily digest of what stayed in your inbox and what was filed and why, at the hour you choose.
  • Leaving is clean. Disconnect and the labels stay exactly where they are.
Sortmail also has its own web app, where you see the overview, read the reason behind each decision and correct anything filed wrongly. You do not have to read your mail in it.

What switching clients costs

  • You change app everywhere. The benefit usually lives inside that client, so you need it on your phone, your laptop and your work computer.
  • The sorting often lives in the client, not the mailbox. Open Gmail on the web, or your phone’s built-in mail app, and the sections may not be there.
  • Leaving is harder. The longer you use a client’s own organisation, the more of your system goes with it when you stop.
  • A client that sends and drafts mail for you is trusted to act as you. Sortmail never acts as you.
  • Per-seat pricing is built around teams. One person who wants a quieter inbox ends up paying for collaboration features.

A summary view is not an empty inbox

Some email apps, and some add-ons from mail providers, answer overload by summarising it. The summary sits on top of a full inbox: every receipt and notification is still there, still unread. Sortmail empties the inbox instead, so there is less to summarise in the first place. It needs no AI add-on from your mail provider, and it works on free Gmail, Google Workspace, Outlook.com and Microsoft 365.

One plan, sorted from day one

Sortmail has no feature tiers. The digest, the rules, the reasons, the extra categories and unlimited sorting of new mail are all on the one plan. There is no training period to sit through either: your last month is sorted the day you connect, and every correction you make is a rule from that moment.

Using Sortmail with any client

Because Sortmail works at the mailbox level, it works under whatever app you choose, now or later. If you like a particular client, the filed mail is simply not in its inbox any more, and the labels are there if the client shows them. Change apps next year and your sorting comes with you, because it lives in your mailbox.

See the difference on your own mail

Connect a mailbox and Sortmail sorts the last 30 days of your inbox (up to 1,000 messages) free, showing where each message would go and why. It is a preview rather than a trial: nothing is written to your mailbox, no labels and no archiving, until you choose a plan. You judge it on your own mail before you pay anything.

Most of what the preview moves is mail you were going to skip past anyway. That is the time Sortmail gives back every day.

One plan, with every feature in it: $8.99 a month, $79 a year or $139 for 2 years at the founding price, limited to the first 500 subscribers and locked for as long as the subscription runs. A year costs less than 9 months of monthly, and 2 years less than 16. After the founding seats it is $12.99 a month, $99 a year or $169 for 2 years. Cancel in one click in Billing.

Start with your own mail. Connect a mailbox, look at where your last 30 days would go, and choose a plan only if you want to keep that inbox.Sort my inbox free
