Freelancer's inbox

Keep your freelance inbox sorted, automatically.

As a freelancer, your inbox is your business. Quietmail sorts the noise, so you focus on client work and new opportunities, not email management.

Connect a mailbox and Sortmail sorts your last 30 days (up to 1,000 messages) for free, showing where each one would go and why. Nothing in your mailbox changes until you choose a plan, and you can cancel in one click.

Ready-made rules

Essential email rules for freelancers.

  • Client communication stays in the inboxEmails from active clients or potential leads need your immediate attention.
  • Invoices and receipts go to a 'Receipts' labelKeep financial documents organized and out of your main view.
  • Project management notifications go to a 'Project Tools' labelUpdates from your project tools are important but do not need to clutter your inbox.
  • Newsletter subscriptions go to 'Newsletters'Read industry news and updates when you choose, not when they arrive.
  • Payment notifications stay in the inboxAlerts about incoming payments or payment failures are critical.
  • Marketing emails go to a 'Marketing' labelPromotional messages can be reviewed when you have dedicated time.
The manual way

Set up an invoice filter in Gmail.

  1. 1

    Find them

Search your mail for common invoice terms to identify these messages. Adjust the search to be specific to your senders.

subject:(invoice OR receipt OR "order confirmation")
  2. 2

    Make a filter

Open the search options (the small arrow in the search bar), choose Create filter, and tick Skip the Inbox and Apply the label. Create a new label named 'Receipts'.

PartlyWhere this stops
  • NoEvery new sender or a slight change in subject line requires a new filter.
  • NoIt is easy to miss invoices if the keywords are not perfectly matched.
  • NoMaintaining many specific filters takes time away from your work.
The catch

Why manual rules fall short for freelancers.

Every new client or tool is a new rule

Your freelance business grows, and so does the number of specific filters you need to write and maintain.

Sender details change

Companies update their sending addresses or subject line formats, causing your carefully crafted filters to stop working.

Important mail can be missed

If a filter is too broad, it might catch a message you needed to see immediately. If it is too narrow, important mail slips through.

Maintenance is non-billable time

The hours spent writing, testing, and updating email filters are hours you could be spending on client work.

Quietmail for freelancers

Your rules, automated and always up to date.

Rules without writing them

Quietmail files newsletters, receipts, and notifications into labels the moment they arrive. You do not need to write a single rule yourself.

Corrections become rules

Move a message to the right place and Quietmail learns. Your correction immediately becomes a rule for that sender, so their next mail goes where you put it.

Your rules always win

Your rules and corrections always take priority over Quietmail's model. If a rule matches, the model is not consulted.

See why it moved

Every filed message shows what decided its category: one of your rules, your own correction, sender signals, or the model. You always know why.

FAQ

Questions, answered.

Yes, Quietmail works with Gmail, Google Workspace, Outlook.com, and Microsoft 365 mailboxes. You can connect multiple mailboxes to one Quietmail account.

What if Quietmail sorts something incorrectly?

If a message is sorted incorrectly, simply move it to the right label. Quietmail learns from your correction and immediately creates a rule for that sender, so future mail goes where you want it.

Will Quietmail delete my important client emails?

No. Quietmail never deletes any mail. It only labels and archives messages into categories you define. All your mail remains in your mailbox, just better organized.

How does the free preview work?

Quietmail sorts your last 30 days of mail (up to 1,000 messages) and shows you exactly where each message would go and why. Nothing in your mailbox changes until you choose a plan.
